JOB DESCRIPTION
The Associate Producer will consistently deliver exceptional service to our clients through excellent project management. This position is an integral part of our Event Ops team and will be responsible for managing, supporting and/or executing various events, from initial concept through delivery and final reconciliation.
RESPONSIBILITIES:
- Responsible for supporting the planning and execution of multiple events, reporting on progress to senior members of staff
- Manage, prioritize and oversee small scale events and/or elements of larger events as assigned, from creative concept and development through initial briefing to reconciliation including but not limited to budget management, venue sourcing, site selection, presentation development, show management, branding and graphic design, interactive/experiential technology, scenic/set design, décor design, staffing, etc.
- Cultivate and maintain relationships with clients and suppliers
- Negotiate and review supplier contracts and addendums for accuracy, ensuring thorough onboarding of suppliers following agency process
- Maximize and monitor opportunities for increasing value adds, savings, and cost
- efficiencies
- Actively generate business from current and past clients
- Work with the team to ensure adherence to client and agency standards
- Field questions and offer advice to team members to assist with creative problem solving
- Be knowledgeable and update the team on best practices, new suppliers, services and venues
- Be proactive with ideas and creative solutions
- Provide support for other team members as required
- Keep up to date on the industry through websites and periodicals, and attend industry events as necessary
ADMINISTRATION & GENERAL:
- Assume responsibility for own environment, ensuring adherence to health and safety policies while having clean smart surroundings
- Work intelligently and ensure that team management is aware of problems or issues which negatively affect productivity
- Ensure knowledge is shared within the team to enable them to work smarter
- Accurate adherence to company’s time tracking policies and systems
- Work on ad hoc projects as requested
QUALIFICATIONS:
- 3 – 5+ years’ Event Coordination/Event Production experience, preferably in an agency or corporate environment
- Bachelor’s Degree required
- Proficient project management skills including budget creation, management and reconciliation
- Experience with general sessions, award shows, activations and/or experiential events
- Good ability to establish relationships and maintain a positive rapport with clients, vendors and suppliers
- Excellent oral and written communication skills
- Good negotiating, risk management and contracting skills
- Highly organised with excellent time management skills to handle multiple tasks simultaneously, meet strict deadlines, and maintain attention to detail
- Ambitious, proactive, and maintain a calm and flexible approach to handling the pressure and stress of ever-changing demands
- Creative problem solver, resourceful, team player
- Demonstrated ability to collaborate with colleagues at all levels
- Good/advanced working knowledge of the Microsoft Office
- Flexible and willing to work outside normal business hours (evenings, weekends) and travel when required
