What You Would Get To Do:
In this capacity, the ideal candidate would represent the FIRST brand embedded within a Solutions account for a Financial Services company. FIRST Solutions is the proprietary strategic meetings management model offered by FIRST, which embeds specialist talent into organizations to provide Content, Creative, Digital Technology, Management & Delivery, and Data & Insights. The Event Technology Manager is responsible for assisting clients in navigating registration websites, supporting the integration of new technology platforms, and managing data, while collaborating closely with the event delivery team. This role involves assisting the events team with the implementation and ongoing support of new technology platforms, as well as leveraging advanced Microsoft Excel skills to manage event information and generate detailed reports.
Your Contributions
- Advises on user experience of all pre-event and onsite registration for both virtual and in-person events
- Implementation and project management of event registration websites, app builds and all technological aspects of our events
- Troubleshoot technical issues
- Manage client evaluation communications such as save-the-dates, invitations, registration, confirmations, etc.
- Database management to ensure consistency of information, accurate data, inputting new data when required and generating lists upon request
- Effectively communicate with internal and external clients via available communication lines; responding to all client queries within the agreed service level agreements
- Work with Event delivery team on overall program logistics, production, and implementation
- Coordination of name badges, tent cards, place cards, departure notices, email confirmations, agenda, signage etc. where appropriate
- Registration desk flow design and set up
- Lead contact for attendee management and technology vendors including pre-event and during execution
- Assist in contacting clients for relevant information pertaining to the event
- Create and distribute post event client surveys
- Coordinate planning and utilization of mobile apps. May assist with build depending on platform.
- List manipulation to provide team members with relevant registration data, year on year statistics, and insight into varied elements and event analytics
- Manage relationships with technology suppliers including the negotiation of contracts
- Review and manage any relevant third-party vendor invoice reconciliation e.g. badging / attendee tracking etc
- Provide the client with cost savings / value adds whenever possible
- Assist with the training of new joiners and mentoring existing team members
- Travel (10-15% annually) for on-site management of events to ensure full success and reconciliation.
What We Are Looking For
- 5-7+ years of experience in Event Technology and Attendee Management including meeting planning and coordination
- Cvent FLEX Experience Required
- Bachelor’s Degree preferred
- Proficient programming skills of HTML and CSS is beneficial
- Strong proficiency with registration website platforms such as Cvent, Bizzabo, Certain, Qualtrics or other registration website platforms
- Experience with virtual meeting and event platforms such as Intrado, GlobalMeet / TalkPoint, Zoom, WebEx, SpotMe, Concise Chime or other virtual meeting and event platforms
- Strong proficiency with Microsoft Office – specifically with Excel (i.e. comfortable with VLOOKUP function) and PowerPoint
- Advanced project management skills with the ability to manage multiple projects simultaneously
- Excellent written and oral communication skills at all levels
- Extensive industry knowledge of new suppliers, services, and best practices
- Strong client management skills with the ability to influence and lead by example, fostering a positive environment
- Strong ability to create best practice and take on new initiatives independently
- Client centric, approachable, ability to adjust to client needs and style and deepen relationships in support of their business and programs; adapt to ever changing demands and different client work styles
- Motivated, self-starter, ability to take direction and work independently; ability to think innovatively
ADMINISTRATION & GENERAL
- Work intelligently and ensure that the Team Lead is aware of problems or issues which negatively affect productivity
- Strict and accurate adherence to company’s time tracking policies and systems
- Ensure knowledge is shared within the team through positive communications
- Flexible and willing to work outside of normal business hours (evenings, weekends) and travel when required to be on-site at events and/or troubleshoot remotely
- Work on ad hoc requests from clients as required
- Assume responsibility for own environment, ensuring adherence to health and safety policies while having clean smart surroundings
United States Residents: The base pay for this position ranges from $70,000 to $100,000. This role is also eligible for an annual discretionary bonus.
