Location: Charlotte, NC (Position is remote, but must reside in NC to commute to events and 1-2 days in Charlotte office per week, during peak season.)
What You Would Get To Do:
In this capacity, the ideal candidate would represent the FIRST brand embedded within a Solutions account for a Financial Services company. FIRST Solutions is the proprietary strategic meetings management model offered by FIRST, which embeds specialist talent into organizations to provide Content, Creative, Digital Technology, Management & Delivery, and Data & Insights. The Project Coordinator will consistently deliver exceptional service to our high-touch clients through excellent project management and creative solutions. This position will support a team of Project Managers with virtual, in-person and hybrid events which include but are not limited to; internal programs, client-facing events including conferences, hospitality, thought leadership, sporting, and cultural programs.
Your Contributions
- Responsible for supporting the planning and execution of virtual, in-person and hybrid events
- Support events from creative concept and development through initial briefing to reconciliation including but not limited to, budget management, site selection, hotel/venue management, registration management, transportation, food & beverage, décor, staffing, name badge coordination, collation of materials and shipping of event materials for in-person events
- Support other team members with event management and onsite execution
- Travel on-site for event execution as necessary (estimated 15-25%)
- Keep team members and internal stakeholders well informed of all relevant logistical information
- Create timely and effective communications as often as needed
- Work with the team to ensure adherence to client standards of operations
- Responsible for accurate and timely budgeting, invoicing and reconciliation of events
- Share knowledge of best practice regarding new suppliers, services, and venues
- Always look to integrate best practices and raise the bar at each event
- Be proactive with ideas and creative solutions

- 1-2 years’ years of experience including entry-level venue sourcing, meeting planning, and supporting a team
- Bachelor’s Degree required
- Proficient with Microsoft Office applications such as PowerPoint and Excel
- Ability to establish relationships and maintain a positive rapport with colleagues, clients, vendors, and suppliers
- Strong oral and written communication skills
- Creative problem solver, resourceful, and a team player
- Ability to manage multiple projects simultaneously, prioritize heavy workloads, and maintain attention to detail
- Calm and flexible approach to handling the pressure and stress of ever-changing demands
- Highly organized with excellent time management skills to handle multiple tasks simultaneously, meet strict deadlines, and maintain attention to detail

ADMINISTRATION & GENERAL
- Work intelligently and ensure that Managers are aware of problems or issues which negatively affect productivity

United States Residents: The base pay for this position ranges from $42,000 to $55,000 in the states of NC, SC, GA, TX, and FL. This role is also eligible for an annual discretionary bonus.
Please note the salary range listed in the job posting reflects the new hire salary range across various U.S. locations (NC, SC, GA, TX, and FL,) that would be applicable to the position. Within the range, individual pay is determined by work location and additional factors, including job-related skills, experience, and relevant education or training.
