What You Would Get To Do
This role is hybrid and must go into the FIRST office 2 days per week (Tuesdays are mandatory and one additional day, determined by the team), subject to change at any time.
The Associate Producer is a key member of the Events & Experiences team, responsible for managing and executing small to mid-sized virtual, hybrid, and in-person events while supporting larger multi-day projects. This role oversees event production, liaises with clients and vendors, manages budgets and timelines, and ensures seamless execution from planning to reconciliation. Collaborating with internal teams and external partners, the Associate Project Manager maintains event documents, coordinates suppliers, and ensures all requirements are met.
Your Contributions
- Manage the planning, production and execution of small to medium-sized in-person, hybrid, and virtual events, while supporting production of large multi-day events, ensuring seamless delivery from concept to completion.
- Work closely with project managers and production teams to facilitate timely delivery of all event components and materials.
- Collaborate with creative, design, and technology teams to oversee event collateral, staging, interactive tools, and presentation assets.
- Travel to events as needed to execute and support on-site event operations, including logistics, technical production, and vendor coordination.
- Manage and maintain event documents to keep the project team aligned, including but not limited to: Operations Decks, Timelines, Run of Shows, Budgets, Staffing Plans, etc.
- Source, negotiate, contract, and manage vendors based on project scope and requirements, including but not limited to: AV, furniture rental, floral, print partners, etc.
- Support budget tracking and reconciliation throughout the event lifecycle to maintain financial accuracy.
- Work directly with hotels and venues to facilitate the needs of the meeting in both pre-planning and onsite delivery of the events.

- 2-4+ years’ event management experience, preferably in an agency environment
- Project management skills, including budget creation, management and reconciliation.
- Proficient with Google suite, Zoom and Microsoft Office Suite (including Outlook and Excel, Teams and SharePoint)
- Ability to establish relationships and maintain a positive rapport with clients, vendors and suppliers, with the demonstrated ability to manage and grow accounts.
- Strong oral and written communication skills.
- Proficient negotiating, risk management and contracting skills.
- Knowledge of key destinations including venues and suppliers.
- Strong team player and willingness to support other team members as required, with demonstrated ability to collaborate with colleagues and clients at all levels.
- Creative problem solver, resourceful, team player, ambitious and proactive.
- Calm and flexible approach to handling the pressure and stress of ever changing demands.
- Organized with excellent time management skills to handle multiple tasks and meet strict deadlines.
- Willingness and flexibility to travel is required.

United States Residents: The base pay for this position ranges from $64,000 - $82,000. This role is also eligible for an annual discretionary bonus.
