What You Would Get To Do:
The Executive Producer is an integral part of our Events & Experiences team. The Executive Producer is responsible for managing, prioritizing and overseeing complex or high-profile events from creative concept and development through execution to reconciliation. They drive client communication, oversee budgets and program teams while managing supplier and partner relationships to deliver exceptional experiences.
There is a requirement for onsite events to travel domestically or abroad as required.
Your Contributions:
Project Leadership
- Lead the planning and execution of multiple key events for various clients, ensuring exceptional service and project management.
- Responsible for the oversight and direction of multiple experiences; leading, planning and executing events of high complexity or high visibility often with multiple experience and activation elements.
- Manage, prioritize and oversee events from initial development to reconciliation including but not limited to budget management, vendor management, site selection, presentation development, video design & development, branding and graphic design, interactive/experiential technology, AV and technical direction, scenic/set design, décor design, staffing, show management, activations, etc.
- Direct and liaise with cross functional teams and 3rd party vendors to deliver best in class client experiences.
- Bring unique SME skills as seasoned production expert to successfully deliver an event or program (as applicable). Specialties may include but not limited to: Content Production: Direct the ongoing narrative, content and communication needs. throughout a project lifecycle including messaging, themes, agenda, scripts, presentations, content, and video treatments. Speaker Coaching: Direct and coach presenters of all levels in show development.
Budget & Supplier Management
- Responsible for fiscal success of programs and events including accurate and timely budgeting and reconciliation.
- Source, manage and appoint suitable suppliers; Negotiate and review supplier contracts and addendums for accuracy and maximized cost efficiencies.
- Maximize and monitor opportunities for increasing value adds, savings, and cost efficiencies while ensuring overall program profitability.
- Foster strong relationships with suppliers and venues, seeking industry innovations and ensuring compliance with performance standards.
- Manage and ensure SLA’s (Service Level Agreements) are monitored and achieved.
Client Leadership
- Ensure service level agreements (SLAs) are met throughout the event planning process.
- Confidently liaise with stakeholders at all levels of the client organization with ability to sell in ideas, strategies and solutions.
- Problem-solve with clients regarding expectations, budget constraints, opportunities, and challenges.
- Act as the escalation point for both clients and internal teams.
- Cultivate and sustain client relationships, and further identify growth opportunities to actively generate business from current and past clients.
- Understand client messaging and goals to provide strategic advisory over complex and multiple programs.
- Contribute with proposals and pitches as applicable to develop and sell best in class experiences.
Team Mentorship & Leadership Continuous Improvement
- Provide knowledge share on best practices and support on-going department initiatives to ensure the delivery of service excellence.
- Provide mentorship, field questions and offer advice to team members to assist with creative problem solving.

- 10+ years’ event management experience, preferably in an agency environment.
- Bachelor’s Degree preferred.
- Advanced project management skills, including budget creation, management and reconciliation.
- Expert knowledge of digital and technical aspects of productions including but not limited to general sessions, awards shows, activations, film production, virtual events and/or experiential events.
- Willingness and flexibility to travel is required.
- Advanced working knowledge of Microsoft Office.
- Familiarity with Salesforce and project collaboration tools (e.g. Slack, Apollo) preferred.
- Exceptional ability to establish relationships and maintain a positive rapport with clients, vendors and suppliers, with the demonstrated ability to manage and grow accounts.
- Excellent oral and written communication skills.
- Advanced negotiating, risk management and contracting skills.
- Advanced working knowledge of key destinations including venues and suppliers.
- Strong team player and willingness to support other team members as required, with demonstrated ability to collaborate with colleagues and clients at all levels.
- Creative problem solver, resourceful, team player, ambitious and proactive.
- Calm and flexible approach to handling the pressure and stress of ever-changing demands.
- Highly organized with excellent time management skills to handle multiple tasks and meet strict deadlines.
- This role is hybrid and must go into the FIRST office 2 days per week (Tuesdays are mandatory and one additional day, determined by the team), subject to change at any time.
- Requires ability to work other shifts and weekends and in excess of 40 hours/week, as necessary.
- Requirement to travel domestically and may require international travel when necessary.
- Essential physical requirements including standing, sitting, typing, handling of materials including lifting / moving item.

United States Residents: The base pay for this position ranges from $130,000 to $140,000. This role is also eligible for an annual discretionary bonus.
