What You Would Get To Do
FIRST is seeking a detail-oriented Administrative Manager who excels at multitasking. This person will oversee Finance operations as they relate to events and will act as a point of contact between different departments including Project Accounting, Accounts Payable, Business Operations, and Risk and Compliance. This role will facilitate setting up new vendors, updating project payment schedules, managing the Finance Service Desk, working through event accruals and other finance/event-related tasks.
The Administrative Manager will support weekly, monthly and quarterly reporting. The successful person should be analytical, collaborative and trustworthy.
Responsibilities
- Manage the monthly accounting event estimates and projections utilising internal tools and systems
- Oversee the accounting event accruals ensuring they are within budget
- Manage and maintain cancellation and credit trackers
- Obtain and manage the weekly global approvals and update the Spend Management System (SMS)
- Accountable for the processing and oversight of the payment method accounts
- Onboard new vendors, process invoice payments and submit any escalation tickets through approved systems
- Overall management of the SMS including status updates, vendor adds, access requests and other system support
- Upload documents via Docusign to obtain necessary signatures and manage request access to Lockbox for external vendors
- Support the recruitment, onboarding, coaching of seasonal interns (as required)
- Manage the creation of service desk tickets for the team (as required)
- Support other Ad hoc projects as requested and as needs arise
Qualifications
- Experience in accounting and finance, or related field helpful
- Bachelor’s degree in accounting, business, finance or related field
- G-Suite and Microsoft Office software proficiency, including Outlook, Word, Excel and PowerPoint
- Experience using Concur expense reporting or Concur invoicing would be highly regarded
- Proven ability to work on multiple projects simultaneously and multi-task as necessary to meet a deadline
- High level of accountability, accuracy, and efficiency, especially when multitasking
- Strong attention to detail and highly organized
- Ability to analyze and solve problems
- Excellent communication skills, including the ability to provide clear explanations and answers to non-finance professionals in the business
- Welcomes change and improvements to working methods and is comfortable with new approaches
- Ability to work well, both independently and as part of a team, and meet professional challenges
