What You Would Get To Do
- Maintain and deliver excellent independent event project management; planning and execution of multiple assigned digital/virtual and in-person events (or hybrid) ranging low to medium complexity or as a support partner to a lead planner on larger/ more complex events.
- Support on all elements of the event such as coordinating registration, transportation, hotel accommodation, entertainment, gift selection, audio/visual needs, webcasts and staging for all programs
- Support with attendee and stakeholder communications
- Maintain task lists and timelines for events
- Ability to manage individual elements (such as F&B) on larger projects
- Support with Speaker Management Process
- Basic financial management, including: budget development and management, expense management and invoice processing, timely post-meeting reconciliation, final financial reporting and cost analysis with support of more senior team members
- Travel (where applicable) for site inspections and on-site management of live events to support coordination of logistics and on-site teams for in-person events
- Support with vendor management (i.e. venues, transportation, audio visual, entertainment, gifts, print materials, etc.)
- Work with the team to ensure adherence to the client’s standards of operation and policies; ensure compliance and risk guidelines are followed
- Create and closely monitor value adds at every opportunity and demonstrate basic commercial awareness
- Share knowledge of best practices, new suppliers, services and venues
- Adhere to the clients SOP’s
Qualifications, Key Skills & Experience
- Proven Event Management experience
- Bachelor's degree preferred or equivalent practical experience
- Excellent written and oral communication skills at all levels in English, Cantonese and Mandarin.
- Motivated, self-starter, ability to work independently and support project planning
- Basic project management skills with the ability to manage multiple projects simultaneously; proven ability to work well under pressure to meet established deadlines
- Resourceful individual with the ability to take direction and work independently; be proactive with ideas and creative solutions
- Strong team player
- Customer focus, approachable; ability to adjust to client needs and style and deepen relationships in support of their programs; adapt to ever changing demands and different client work styles
- Proficient with Microsoft Office
- Ambitious, proactive and highly organized
- A calm and flexible approach to handling pressure and stress
Administration & General
- Build excellent relations with clients and colleagues through positive communications
- Work intelligently and ensure that the Team Lead is aware of problems or issues which negatively affect productivity
- Flexible and willing to work long hours (evenings, weekends) and travel
- Work on ad hoc requests as required
- FIRST ambassador; participate and engage with FIRST initiatives and extracurriculars where possible
- Strict and accurate adherence to company’s time tracking policies and systems
- Assume responsibility for own environment, ensuring adherence to health and safety policies while having clean smart surroundings
