JOB SUMMARY
The ideal candidate would be interested in entering a career dedicated to Event Technology, encompassing all things data, registration and customer service related. In this position they would represent the FIRST brand as a dedicated resource within our Solutions division and assume the role of Event Technology Coordinator. The position will be within the Event Technology team, supporting the invitation and website process and developing knowledge of Microsoft Excel, Access and event registration systems.
ESSENTIAL DUTIES & RESPONSIBILITIES
- Database management to ensure consistency of information, accurate data, inputting when required, generating lists upon request (full training provided)
- Preparing clean and accurate lists for printing of name badges, tent cards, place cards where appropriate
- Pre-event and on-site support during execution of events/conferences
- Supporting other members of the department with mailings, onsite assistance etc.
- Assist in the development of and management of online registration (full training provided)
- Assist attendees with registration process
- Assist with any ad-hoc projects and provide support to the wider team when necessary
- Assist with client event communications such as save-the-dates, invitations, registration, confirmations, feedback surveys etc.
QUALIFICATIONS, KEY SKILLS & EXPERIENCE
- Highly motivated, able to work independently
- Exhibit strong learning behaviours, ambition and work ethic, patience and a winning attitude
- Flexible and willing to work outside normal business hours (evenings & weekends)
- Strong oral and written communication skills
- Ability to travel for events when required
- Ability to assist with multiple projects simultaneously
- Proficiency with Microsoft Office – specifically with Excel
- Related experience in Data Management and Event Technology including entry level meeting planning and coordination (preferred but not essential)
- Bachelor’s Degree (preferred but not essential)

- Assume responsibility for own environment, ensuring adherence to health and safety policies while having clean smart surroundings
- Work intelligently and ensure that your line manager is aware of problems or issues which negatively affect productivity
- Build excellent relations with team through positive communications
- Ensure knowledge is shared within the team to enable them to work smarter and more efficiently
- Work on ad hoc requests as required, typically during quiet times
ADDITIONAL SKILLS
- Fluency in spoken English, Mandarin and Cantonese, written English and Chinese is essential to perform tasks such as reading and composing communications, communicating with clients, translating documents, setting up registration sites, and more.
- This will also aid with the training programme you will go through should you be successful.
