JOB LOCATION:

JOB DESCRIPTION:
The ideal candidate would represent the FIRST brand as a dedicated resource within our Solutions division and assume the role of Project Manager. The Project Manager will consistently deliver exceptional service to our clients delivering complex projects from initial concept through onsite execution and final reconciliation. The Project Manager would be required to handle multiple priorities, support the team, be a point of escalation and have great stakeholder management through effective communication.
- End to end delivery of a wide range of internal and external events from inception through full execution onsite and post event debrief. Onsite responsibilities to include leading registration procedures, including training temp staff and monitoring attendee participation.
- Travel as required - for site visits, on-site execution, and to oversee attendee logistics and registration for offsite events.
- Manage build and maintenance of event registration websites, mobile apps, and event communications (invitations, reminders, etc.).
- Database management to ensure consistency of information, accurate data, inputting new data when required and generating lists upon request.
- List manipulation to provide team members with relevant registration data, year-on-year statistics, and insight into varied elements and event analytics.
- Coordination of name badges, tent cards, place cards, departure notices, email confirmations, agenda, signage etc. as needed.
- Create and distribute post-event client surveys, as well as any ad hoc attendee communications.
- Full management responsibility for assigned project budget creation, budget approval process enquiries, costs and contract negotiations with suppliers, timely invoice processing, and final reconciliation.
- Management as well as knowledge and understanding of audio-visual requirements, internal and external speaker management, collection and program order collation of all presentations, food and beverage requirements.
- Preparation of all detailed on-site event management documentation as well as verbal briefing of support staff, venue, and all suppliers directly responsible for delivering the event or conference.
- Develop and manage relationships with Global and Regional stakeholders across client teams and departments and effectively communicate relevant information pertaining to the events managed.
- Act as client liaison and work with the FIRST team to ensure adherence to client standards of operations.
- Share knowledge and create best practices regarding new suppliers, services, and venues.
- Identify process inefficiencies and implement any changes in alignment with management.
- Be proactive with ideas and creative solutions and look to find innovative ways to deliver content and enhance each event.
- Mentor and support other team members as required.
- Regular event calls with AMRS and EMEA teams.
QUALIFICATIONS, KEY SKILLS & EXPERIENCE:
- 5 - 7 years event management experience, preferably in the financial services industry.
- Bachelor’s Degree preferred.
- Advanced project management and event strategy experience of event management, including but not limited to C-level executive meetings, dinners, cocktail receptions, incentives, and hospitality.
- Related experience in Data Management and Event Technology required (1-2 years of relevant Cvent experience preferred).
- Proficiency with Microsoft Office – specifically with Excel is required (1-2 year of relevant Excel experience preferred
- Excellent oral and written communication skills.
- Strong ability to create best practice and take on new initiatives independently.
- Ambitious, proactive, and highly organized, with excellent writing and oral communication skills.
- A calm and flexible approach to handling pressure and stress.
- Client centric, approachable, ability to adjust to client needs and style and deepen relationships in support of their business and programs; adapt to ever changing demands and different client work styles.
- Leadership/influencing/negotiation and decision-making skills.
- Proficient working knowledge of Microsoft Office.
- Working knowledge of suppliers and delivering events across APAC.

- Work intelligently and ensure that the Regional Operations is aware of problems or issues which negatively affect productivity.
